BVD Fuel Import
IMPORTANT NOTES:
1) Transactions for the current day should not be downloaded until the next morning, otherwise transactions that haven’t been completely calculated yet can be included in the BVD file causing errors on import. Therefore, users should never include today’s date in their date range when downloading transactions.
2) Users must not choose to download retail price on the BVD website when downloading fuel purchases, this option isn’t supported currently. They must not select any price options on the download screen, this will ensure that the total and taxes of the downloaded/imported receipt matches the total and taxes for the same receipt on their BVD statement.
Fleet Manager Professional Setup
- Open Data Maintenance
- Click the Misc. Vendors folder
- In the left panel Click the Add button
- Enter BVD as the vendor name
- Enter other details as desired
- Click the Credit Card Assignment tab
- Right Click and select Add Fuel Card
- Enter the fuel card number using all the digits (Note: leave off any leading zeros)
- The PIN field is for informational purposes only
- Assign the card to a driver or to a truck and Save the record
Downloading the BVD fuel import file:
- Browse to www.bvdpetroleum.com
- Login using your username and password
- Click on the Reporting menu
- Create New
- Add Report Name
- Select the Template that is also in the Format TchekDatTransPlus
- Select Company IDs
- Choose your date range that is not including current date
- Then select the format:
- TcheckDATTransplus, NOTE: you will have to call BVD to request this option
- Note: the import does not support csv or xls files
- Select Export Type: Fuel and Cash Transactions.
- Don’t change any of the other field selections unless you want to include US and CDN in the same file
- Click Create
- Click Preview
- Click Export
- Download and save for Import.
